GENERAL STALL APPLICATION

Thank you for supporting the Eid Mela Carnival 2025 . Application Guidelines.  By submitting this application, you acknowledge that you have read, understood and accepted the terms and conditions of holding at food/boutique/other stall at the EID MELA  CARNIVAL… .  

I would like to apply for stall at the Eid Mela Carnival 20th & 21st of June 2025 the Rocklea Showgrounds at 1430 Ipswich Road, Ipswich, Q 4204

GUIDELINES, TERMS & CONDITIONS

Any additional marquees, weights, tables, chairs and other equipment must be supplied by stall holder. Please note that there will be access to power, but sure you can supply your own lights and extension cords. applications should be submitted via the melacarnivalqld@gmail.com email or via the member in charge of stalls.

Stall Locations:

Stalls will be grouped and located in designated area . All successful stall applicants will be allocated a stall position at the Organizer’s discretion. You will be allocated a stall number once the stall fees are paid in full.

Signage & Marquees

All Stallholders must provide their own signage and their own marquees if a marquee is required, otherwise most stalls will be arranged inside the Hall.

Electricity Supply:

Electricity supply is limited –  those requiring power will have to be located on the side where power boards are available. You will have to provide your own extension leads (15-20m) and lights for night time operation, if you are located outside the Hall.

All Electrical appliances you intend to use must be tested prior to the event

All Electrical appliances you intend to use must be tested prior to the event otherwise testing and tagging by the onsite Electrician will cost $10 per item.

Stall Set-Up: Bump-In

Dismantling of Stalls:

Saturday 21st June  from 9.30pm to 11.00pm

Friday 20th of June 2025 , 12:00noon to 03:30pm. All stalls must be completely set up by 04:00pm, if the vendors are keeping their stalls for 2 days. Otherwise, if only on Saturday 21st June, then the bump-in time is from 7am and they must be ready to trade by 9.30am for a 10.00am start.

Parking:

There is adequate parking inside the Rocklea Showgrounds and there will be no parking fee for people (including stall holders) wanting to park their vehicles within the Showground boundary. No one should be using street parking areas opposite the Showgrounds and along Goburra Street.

Site Damage:

Any stallholder that damages the site, and/or hired furniture will be charge 100% of the cost associated with all necessary repairs and restoration.

OVERNIGHT STORAGE :

Those vendors participating in both days of the two day event, will have the option of leaving their merchandise and/or equipment on Friday night. The Organisers will keep a Security guard on duty overnight on Friday, 20th June, to safeguard all your stuff.

Site Cleaning:

Stallholders are responsible for removing all rubbish from their site at the end of the day. Failure to leave sites completely clean will result in a $100 fine

Fee:

Booking fees is 50% of the Stall fees (reduce from stall fee). The stallholder fee is to be paid in full 2 weeks before event (7th of June 2025) or the full stall fee can be paid at once to secure your stall.
Stallholders will be  required to pay the full stall fee ( but in exceptional circumstances, a booking fee of 50% of the stall fee to be paid) upon signing the agreement. In any situation, all fees will have to be paid by 6th June otherwise the space will not be held for you.

Stall Cancellations:

Cancellation after 30th of May will incur the loss 50% deposit and cancelation request must be submitted in writing.
Cancellation after 6th of June 2025 will incur the loss of 100% deposit.

Electrical Leads:

All stallholders must provide their own power leads – If you need. All leads must carry a current testing tag and all lead must be covered by matting, cable covers. 
N.B. If tags are not current, the stallholder will be required to shut down, as this poses a danger for insurance purposes. Testing & tagging is available through any registered electrician.

Public Liability Insurance:

All Food Stallholders must hold current Liability Insurance. All food stallholders MUST hold current Brisbane  City Council  Food stall License. All Food Stallholder vendors MUST comply with State Government Health Department Requirements. Vendors MUST have relevant licenses. (Attached with the application)
This must be displayed in the stall during the carnival day.

Conduct:

All stallholders and their personnel are required to conduct themselves in a civil and responsible manner. All stallholders MUST follow the Brisbane City Council Food Stall’s rules and regulation. Any stallholder deemed to be in breach of this will be asked to leave the premises with immediate effect.

Conduct: Whom to see and what are the times for Bump-inand bump out.

 From 12noon  to 3.00pm  on Friday 20th June 2025  for the first day event & Between 7:00 to 9.00 am on Saturday 21st June for the second day event – are the times that the stallholders can come in and bring all their stuff.

Please see the security/volunteer at the fence/gate (map to be supplied later closer to date), show your confirmation/email, they will direct you to your site

In the interest of Eid Mela Carnival visitors and other stallholders, all stallholders are required to adhere to the above and to ensure that all equipment is fully set up and ready in accordance with the above times.

Terms and conditions: By signing below, I acknowledge that I have read and agree to abide by the terms and conditions set forth by the event organizers. I understand that failure to comply may result in the cancellation of my stall application. All meat/food supplied MUST be from halal source, certification/receipt will be sighted. You will only be selling what’s mentioned in your application form on the day. .

Food stall (3m x 3m – provide your own marquee):$500

Food truck mobile  (Up to 6m long):$600

Boutique Stall Covered area & Inside Hall:$500

Beverage mobile kiosk (ONLY coffee, slushy, other drinks ):$350

Jewellery & Perfume stall inside the hall:$300

Exhibition stall:$150 (Not-for-Profit Organisations )&    $300 for businesses.

DONATIONS

If you are donating an item to the Mela Carnival raffle / auction it would be greatly appreciated if you could drop the item off to one of the Committee members at least 1 day before the carnival so that it can be packaged and displayed beautifully for the day.Alternatively, please bring your item packaged ready to be displayed on the day of the carnival and hand it in upon check in.If you require further information, please contact a team member or email to the Committee at melacarnivalqld@gmail.com
